But then I discovered how AI could automate the real time-suckers in my business, and everything changed.

5 Tasks You Can Outsource to AI Today!

1. Calendar Management & Scheduling

This might seem obvious, but it's often overlooked.

While I used to rely solely on Google Calendar, discovering Motion was a game-changer.

What sets it apart? It learns your priorities (hello, daily cash flow activities!) and automatically organizes tasks based on importance.

Tool recommendations:

  • Motion: Best for AI-powered task prioritization
  • Calendly: Great for basic scheduling automation

2. Customer Service

Depending on your business model, you can automate customer service directly through your website.

ChatGPT is surprisingly effective for creating customer service chatbots – and it's affordable (around $10 for six months of access to OpenAI).

💡Pro Tip: While I personally love responding to emails, having an AI chatbot on your website can prevent losing potential customers who can't find what they're looking for and save you time from responding to the same questions repeatedly.

3. Social Media Management

This is likely one of your biggest time drains right now.

Many scheduling tools now include AI capabilities, making automation easier than ever.

My top picks:

  • Buffer: User-friendly interface, great Chrome plugin, AI-powered scheduling, writing, and suggestions
  • Hootsuite: Solid alternative with similar features

Both tools can learn optimal posting times and suggest relevant content to share.

4. Data Analysis & Insights

Making decisions based on data rather than emotions is crucial for business growth.

While ChatGPT can handle basic analysis, I recommend:

  • Perplexity: My go-to for deeper insights and research
  • Gemini: Great for analyzing various file formats

Remember: The quality of insights depends on your input. Be specific about what you're looking to learn from your data.

Of course, we can't forget Google Analytics… a must for your own website analysis.

Make sure you've got this set up and review at least once a month (more if you're focused on understanding how users interact with your website).

5. Email Marketing Automation

Most email platforms already utilize AI in some form.

I've been using Kit (formerly ConvertKit) for over 10 years and love their pre-built automation templates.

The AI works behind the scenes to:

  • Improve deliverability
  • Optimize sequence timing
  • Enhance subscriber interactions

Other solid options include ActiveCampaign and Constant Contact.

In terms of writing emails, my fav tool is Magai. It provides access to all the language models like Claude, Gemini, GPT, Perplexity etc.

Why do I love it?

Because EVERYTHING I input into Magai stays in my account. It's not shared with any of the language model's databases.
